Rota app for hospitality and franchises
The rota goes to the WhatsApp group as a PDF, changes are shouted across the kitchen, hours are written on slips, and at month-end someone spends an evening on a list for the accountant. Quick-service chains add lots of part-timers and mini-jobs, weekend and night shifts and often several locations.
Many businesses today use separate tools, for example gastromatic for the rota and Personio for HR. Symiko brings both together in one rota app that also knows personnel files, HACCP and your manual: what is planned gets clocked on the phone, checked and handed to your accountant as a file.
What Symiko’s rota app does
Rota by department
Plan the week by department, prepare it as a draft and publish it once it’s ready. Templates can be reused and the rota can be printed. The rota knows about leave and sick notes, and public holidays apply per German state. The team gets the new rota as a push notification on their phone.
Working time rules while you plan
When you create a shift, Symiko checks the rules you have set up: rest periods, breaks, maximum working hours, weekly hours, rules for young workers and the mini-job limit. Warnings appear right in the shift dialog, not at payroll time. The grid also shows the staff cost ratio.
Leave and sick notes
Request leave, report sick, keep an eye on remaining holiday: requests go to the manager, and approved absences appear in the rota straight away. Anyone planning shifts only sees “absent” there, not the reason.
Shift swaps without a phone chain
Whoever can’t make it offers the shift, a colleague takes it, the manager approves. The rota is correct straight away and everyone involved is notified.
A time clock on your own phone
Clock in, break, clock out – on your own phone. Corrections need a reason and every change stays traceable. Working time models with hours per weekday set the target; the working time account shows target and actual per month, overtime and undertime. Employees see their hours and a pay preview. Anyone who prefers not to use their phone clocks in on the store tablet with a PIN.
Month-end close and DATEV file
At month-end you review hours, approve them and close the month. Sunday, public holiday and night premiums are calculated from the rates you set. The result goes to the accountant as a file in DATEV format – as a download or through a dedicated, time-limited link. Payroll itself stays with your accountant.

Frequently asked questions
Do employees need a work phone for the rota app?
No. They see the rota in the app on their own phone and clock in, take breaks and clock out there too. Corrections go through the manager with a reason.
Does Symiko check working time law?
While you plan, Symiko warns about breaches of the rules you have set up, such as rest periods, breaks and maximum hours, including for young workers and mini-jobs. Responsibility for the rota stays with the employer.
Does Symiko run payroll?
No. Symiko prepares it: approved hours, premiums and absences go to your accountant as a DATEV file. Payroll is done there as before.
Can each location have its own accountant?
Yes. DATEV settings apply per location. In franchising in particular, every partner has their own accountant.
What does Symiko cost?
Billing is per location and month, not per employee. All core modules are included in the location price; you can add individual extra modules if you need them. Symiko can be cancelled monthly; we discuss the terms in the demo.
